This information provides UQ-Ochsner students with a generalized timeline of key milestones during Year 4.

Year 4 Timeline

January

  • Ochsner students receive detailed information regarding the MSPE process during the Year 4 Medical Student Symposium

April

  • Sit the Step 2 Clinical Knowledge and Clinical Skills exams no later than April. NOTE: You are required to sit the Step 2 examinations by early July in order to receive your results for exemption from the Year 4 OSCE (Objective Structured Clinical Examinations). To receive exemption from the examination you will be required to report successful completion of the Step 2 exams by early November.

May

Late June

  • Obtain your ERAS token in the ERAS Support Services section of ECFMG's OASIS. Click here to view details regarding tokens.
  • Register in MyERAS with your token at AAMC’s MyERAS website.
  • Once registered, you can begin working on your application and start submitting supporting documents.

July 

  • Deadline to apply for exemption from Year 4 OSCE. 

August (After release of Semester 1 grades)

  • Order official academic transcript for residency applications. - As soon as Semester 1 grades are released in SiNet, then grades are available on your transcripts. DO NOT order until grades from Semester 1 appear on SiNet.
  • We have organized a process with the UQ Student Centre to expedite this - follow the steps below.
    • Order your transcript online
    • Follow the Order Online process to order an electronic academic transcript
    • Under the Academic Record section, select "MyeQuals Transcript"
    • Under the Confirmation section, select "Immediately"
  • You must order your transcripts no later than mid-August – exact date will be provided to students by Ochsner Student Affairs.
  • UQ will send a notification to your UQ student email account with instructions on how to register your account with My eQuals in order to access and share your official transcript. Although the My eQuals system will allow you to share these documents in several ways, due to the specifics required by ECFMG, you will need to download a cryptographically signed PDF copy of your  transcript and email it to StudentAffairs@ochsner.org. Do NOT send this via the My eQuals system, attach it in an email.
  • NOTE: Any outstanding fees on SiNet must be paid in advance in order to receive your transcript.

August 30th

  • A general guideline of when to have all LORs submitted for uploading.
  • All MSPE meetings with Ochsner Medical Society Heads should have taken place.

September 4th

  • Applicants start submitting ERAS applications to programs.

September 15th

  • Residency programs can begin downloading all documents, except the MSPE.
  • Applicants begin registering for the Match through NRMP website.

October 1st

  • MSPEs are released to residency programs.

    November (exact date to be provided)

    • Deadline to provide evidence of passing USMLE Step 2 CS.

    November 29th

    • NRMP registration deadline. After this date, there will be an additional fee.

    Mid-January 2020

    • Rank order list entry begins.

    February 19, 2020

    • Rank order list deadline at 9:00 PM (Eastern Standard Time in the United States).
    • Applicants must register for or withdraw from the Main Residency Match.

    March 9-13, 2020

    Australia Return Placement

    In accordance with AMC requirements, MD Ochsner students are required to return to Australia during Year 4 to complete a 6-week clinical placement of Australian healthcare training in an Australian clinical setting. Students are given some degree of flexibility as to what time of year to make their return and which block would be most suitable. The Australia Return Placement can be completed at any approved site within Australia. Students are responsible for all costs incurred with this placement.

    ID Cards

    Please remember to bring the following:

    • UQ student ID card
    • Medical student ID card

    Should you forget either of these IDs, you will be required to purchase a new one. The Faculty of Medicine at Herston can supply UQ student ID cards, however Medical Student ID cards can only be purchased at the St Lucia campus. Please contact the Faculty for more information (details listed below).  

    Be advised that your renewed Blue Card will be available at the Student Hub located at the Herston campus. You must pick this up upon your arrival, and prior to your entry at your clinical placement.

    Travel Insurance
    • In order to be covered by UQ Travel Insurance during your travels for your Australia Return Placement, you must submit all travel details by completing the online travel form. Students are responsible for submitting this information within eight (8) weeks prior to travelling.

    Overseas Student Health Cover Refund Process

    Students are entitled to apply for Overseas Student Health Cover credit for the time out of Australia during the clinical years. Please refer to the process below.

    1. The student should first approach Allianz during their Australia Return Placement to apply for a ‘holiday credit’. They can do so by bringing their passport (photo page, arrival and departure stamps/documents) and boarding passes/flight itinerary to the Allianz on-campus representative within thirty days of arrival back in Australia. Students can also email these documents with the OSHC Holiday Credit Application Form to the member services team at oshc@allianz-assistance.com.au. Allianz will then process a holiday credit for the entire period the student was overseas and their policy will be extended by this period.

    2. Following the official UQ MD graduation ceremony (not the culmination ceremony) the student must obtain a Confirmation of Program Letter from the Faculty of Medicine (med.enquiries@uq.edu.au), which confirms the student’s enrolment in the Ochsner program and the dates the student returned to Australia to complete their return rotation.

    3. The student then needs to submit the OSHC Refund Form to the on-campus representative or via email (oshc@allianz-assistance.com.au). The refund form and the letter needs to be accompanied with a copy of their return ticket back to the United States and a copy of the photo page of their passport (if a departure stamp is available, please also send a copy of this in). Allianz will then process their refund into the nominated bank account (Australian or overseas) within ten working days.

    USMLE Step 2 CK & CS Scores

    • Allow at least 8 weeks to receive scores
    • Step 2 CK - typically available 4 weeks after exam
    • Delays are inevitable for various reasons
      • Must allow for the "what if's"
    • Step 2 CS - results take much longer
    • You should take Step 2 CS with enough time to retake and pass prior to the exemption deadline.
    • Refer to the USMLE Study Support section and review the Step 2 CK & CS Study Plan.

    Program Requirements

    2019 Milestone Assessments Required to Graduate

    1. OSCE (scheduled for September 21, 2019 in Brisbane only) 
    2. IHI Certification (via online modules)
    • Refer to the Year 4 Blackboard Community Site for details.
    • ALL students are required to obtain the Institute for Healthcare Improvement (IHI) Open School Basic Certificate in Quality and Safety - Deadline: TBA; however, it must be completed by the end of August to include IHI Certification on ERAS applications.
    • Register to apply for exemption from Year 4 OSCE - Deadline: TBA

    Pre-Graduation

    • Ensure you have updated your mailing address in SI-net. NOTE: There are 3 sections for "Addresses" in SI-net. The Mailing Address is where the University will send all hard copy correspondence to you. This is particularly important for students who will not be attending the graduation ceremony at St Lucia. UQ will automatically send original copies of your diploma and final transcript to the Mailing Address listed in your SI-net account.  This will be during the Christmas holidays and the post office will not hold mail for more than 5 days; therefore, your diploma and transcript will be sent back to UQ if someone is not there to sign and accept the package.  Make sure to update your Mailing Address in SI-net where someone can receive your package.

    • The name on your diploma must match exactly the same name in your ECFMG record.

    • To update your personal details, refer to Update personal or contact details via my.UQ.

    • Contact graduations@uq.edu.au to address any issues regarding your name as it appears in SiNet.

    Post-Graduation - ECFMG Certification Process

     

    The following information provides the detailed process UQ Ochsner graduates must follow in order to receive final ECFMG certification.

    • ECFMG verifies every international medical graduate’s final medical diploma with the appropriate officials of the medical school. When ECFMG requests verification of your medical education credentials from your medical school, ECFMG will request the medical school to provide your final medical school transcript and diploma. UQ is signed up for ECFMG’s electronic verification portal, which means we can upload and verify your diploma and transcript electronically to complete the process.  However, in order for our office to verify your credentials and upload your transcript and diploma via ECFMG’s electronic verification portal, you must provide us with a copy of both your final transcript and diploma (testamur).
    • UQ will send a notification to your UQ student email account with instructions on how to access your documents via My eQuals. Although the My eQuals system will allow you to share these documents in several ways, due to the specifics required by ECFMG, you will need to download a cryptographically signed PDF copy of both your diploma and final transcript (testamur) and email it to StudentAffairs@ochsner.org as soon as possible. Do NOT send this via the My eQuals system, attach it in an email.
    • You can check the status of your ECFMG certification online using OASIS.
    • Once you are ECFMG certified, ECFMG automatically transmits an updated status report notifying all programs you applied to that you are ECFMG certified.

    California PTAL Applicants: For those in the final stages of applying for the California PTAL, the Post-Graduation information listed above will slightly differ for you. Please refer to Post-Graduation for the PTAL Application. You will also receive specific instructions via email closer to the official UQ graduation date.
